Getting started with CAPYI

GETTING STARTED:
CAP SITES MUST receive confirmation from the PCNA prior to starting the hiring process.
The PCNA will only reimburse hours for youth after the date the PCNA RECEIVES the faxed contract. We will not go by the date the site enters on the contract since in the past we have received back-dated contracts months after the youth has started work. We will only pay for hours AFTER the received contract date which also has a "start date" field.
Start-up report MUST be submitted and received by the PCNA the day the youth starts work.
SITE / SUPERVISOR /YOUTH RESPONSIBILITIES: Payments will NOT be sent out if all monthly documents are not submitted. The last payment for youth will be sent only when all final reports have been submitted.
The following steps MUST be completed in order to start receiving payment for CAPYI hours worked.
PIF should be used in the hiring process. PIF MUST be faxed along with the contract.
1) Site manager / youth must create accounts on the website
2) Youth must complete the CAPYI startup report with assistance from the site manager (one per youth, located under the CAPYI documents menu)
MONTHLY RESPONSIBILITIES:
Youth must complete an Impact report for each month worked. Impact reports are available for filling in the 15th of every month.
Site managers are required to send in monthly invoices directly after the end of each month. Failure to do so WILL result in late payment / nonpayment by PCNA.
CAPYI RC's must complete 2 status reports a month. The RC status report is located under the CAPYI documents link.
EVERY TWO MONTHS:
Youth are required to submit a success story chronicling a success at their CAP site. For more information on success stories, please visit the success story guide on the 'getting started' menu.

AT THE END OF EMPLOYMENT:
At the end of employment, youth are required to fill out their final impact report as well as the youth final report. Supervisors must fill out a supervisor final report. If the employment terminates at the CAPYI end date, please note that all reports MUST be in March 31st. Invoices Must also be in March 31st. Failure to submit the required documents by the end date WILL result in non-payment.
RESPONSIBILITIES: Please Read:
Supervisor:
· Promote the CAP Site to the community and market its services.
· Inform a broad range of community members, especially those identified as most likely to be disadvantaged by the Digital Divide, about the potential of the Internet as a source of information, resources and services.
· Provide training and training resources related to the effective use of ICT by community organizations, small businesses, and individual members of the community.
· Manage the overall operations of the CAP Site.
· Report project activities and results to the Provincial Coordinator.
· Ensure that all required reports are completed and submitted to the PCNA.
· Submit success stories on CAP clients, projects, events or training sessions. Publicize and publicly acknowledge the funding provided by the Minister.
· The Supervisor is required to register each Youth Intern and Regional Coordinator by submitting a Start-Up Report and PIF. In the event of a failure to submit the Start-Up Report and PIF within five (5) business days of the beginning of a work term, the PCNA reserves the right to terminate the contract immediately.
· The Supervisor is to complete the CAP Site Supervisor’s Report no later than five (5) business days after the completion of the work term or by March 31, 2012 whichever is earlier. In the event of a failure to submit the Supervisor’s Report in accordance with this schedule, the PCNA reserves the right to terminate the contract immediately. Cap YI’s
· Promote and create awareness of the CAP site, including: inform a broad range of community members about the CAP site; develop publicity and promotional materials; develop and promote accessibility awareness initiatives; organize information fairs and other promotional events; hold information sessions; promote awareness of ICT solutions to local small businesses and community organizations.
· Train the community on the effective use of ICT, including: assist the general public and target groups (especially those community members identified as most likely to be disadvantaged by the Digital Divide) on basic computer and Internet use; support community members on the use of assistive technologies; deliver workshops geared at specific topics of interest.
· Provide technical support to the CAP Site, including: set up and/or maintain hardware and software; provide network troubleshooting.
· Develop or maintain websites, including: update or create a website for the local CAP Site; help community members to develop their own websites.
· Assist with CAP Site administration, including: maintain records for the CAP Site; assist CAP Site Supervisor in the operation of the CAP Site.
· Complete and submit the mandatory reports and success stories.
· Initiate and/or maintain other projects, as directed by the PCNA or Industry Canada
· A Monthly Impact Report must be submitted for every month worked, in whole or in part. The Monthly Impact Report must be completed on or by the last business day of the calendar month. Youth Interns working at more than one CAP Site must complete an Impact Report for each site. In the event that more than one Youth Intern works at a single CAP Site over the course of the calendar month, the report may be submitted jointly.
The Youth Intern must complete a Final Youth Report, on or by the last day of the work term or by March 31, 2012, whichever is earlier. Training Evaluation forms must be completed when the Youth Intern provides training to the public. ***Please remember that all invoices and forms should be faxed to the PCNA 1-(888)-373-7671. Failure to submit requested information within the deadline will result in non-payment.***
Regional Coordinator
· Train, support, and oversee Youth Interns at CAP Sites.
· Ensure that CAP priorities are met by Youth Interns in the Regional Coordinator’s assigned region.
· Prepare reports for CAP YI as required.
· Assist in the writing and collection of success stories.
· Develop links and communicate with the CAP Sites in the Regional Coordinator’s assigned region.
· Liaise with the Provincial Coordinator regarding the regional implementation of CAP YI.
